Calendar Sync
Send your HM Praxis appointments to the calendar your practice already uses, Google Calendar or Microsoft 365, so the whole team can see the day's schedule on their phones without opening HM Praxis.
Calendar sync is available on the Pro tier. If your practice is on Trial or Basic, upgrade to Pro before following this guide.
One Way Only: HM Praxis to Your Calendar
Calendar sync only sends. HM Praxis writes your appointments into the calendar and never reads anything back from it. Your calendar is a mirror; HM Praxis stays the source of truth.
- Book, move and cancel appointments in HM Praxis, not in the calendar
- Anything typed directly into the calendar entry stays in the calendar. HM Praxis does not see it.
- Deleting a mirrored entry in the calendar does not cancel the appointment in HM Praxis
This is deliberate. A one-way mirror means a stray edit in a shared calendar can never quietly change your agenda.
What the Calendar Entry Actually Says
By default the entry carries no clinical meaning at all. The title is simply HM Praxis and the body is empty. It marks the date and time and nothing else: no patient name, no notes, no procedure. No patient information leaves the machine.
There is an optional full detail mode. Turn it on and each entry also carries the patient name and the appointment notes. It is an explicit opt-in, and HM Praxis warns you before it takes effect.
Full detail sends patient names and appointment notes to your calendar provider. If your provider is not covered by a business associate or confidentiality agreement that covers patient information, stay on the default. This is practical guidance, not legal advice; if you are unsure, ask your own advisor.
Connecting a Calendar
Confirm your practice is on Pro
Calendar sync is a Pro feature. On the Trial and Basic tiers the connection cannot be made, so upgrade first if you need it.
Open Settings, then Integrations
In HM Praxis, go to Settings and open Integrations. Google Calendar and Microsoft 365 are both listed there.
Click Connect account next to your provider
Click Connect account beside the provider your practice uses. HM Praxis opens your normal system browser at that provider's own sign-in page.
Sign in and approve the request
Sign in with the account that owns the calendar you want the appointments to appear in, and approve the request. When the provider confirms, close the browser tab and return to HM Praxis.
The sign-in happens on the provider's own page, inside your own browser. HM Praxis never sees your password.
Decide how much detail to send
The default is the private one: the entry says only HM Praxis with an empty body. Leave it there unless you have a specific reason not to.
Turning on full detail sends the patient name and the appointment notes to your calendar provider. HM Praxis warns you before it takes effect. Read that warning; it is not a formality.
Check that appointments appear
Open your calendar and look for an upcoming appointment at the right date and time. Remember the flow is one way, so anything you change in the calendar will not come back to HM Praxis.
How the Connection Is Made
1. Your own browser, not a window inside the app
Connecting opens your normal system browser at the provider's own sign-in page. You sign in to Google or Microsoft exactly as you would on any other day, on their page. HM Praxis never sees your password.
2. The answer comes back to your own computer
After you approve, the provider sends its answer to an address that exists only on your machine (a loopback address). It is not handed to any outside website on the way.
3. PKCE protects the exchange
The authorisation uses PKCE, the standard designed for desktop applications. It ties the answer to the request that started it, so an intercepted code is useless on its own.
4. The token lives in the operating system keychain
The refresh token that keeps the connection alive is stored in your operating system's own protected credential store: Windows Credential Manager, the macOS Keychain, or the Linux secret service. It is not left sitting in a plain file.
5. Nothing routes through rb-devops.com
The connection is between your computer and your calendar provider, directly. Appointment data never passes through our servers, and we never hold your calendar token. That is how the feature is built, not a policy we ask you to trust.
If you use the Google button to sign in to your rb-devops.com account, that sign-in asks only for your basic profile. It does not give anyone access to your calendar. Connecting a calendar is a separate consent that you give explicitly, inside HM Praxis.
Disconnecting a Calendar
Disconnecting is in the same place as connecting: Settings > Integrations, beside the provider. Once disconnected, HM Praxis stops sending appointments to that calendar.
Entries that were already created are left in place. Disconnecting does not go back and remove them. If you want them gone, delete them in the calendar yourself.
Advanced: Use Your Own OAuth Application
Most practices will never need this. Skip this section unless you already recognise why you would want it.
By default HM Praxis connects through its own registered application and there is nothing for you to set up. If your practice runs its own Google Workspace or Microsoft 365 tenant and would rather the connection lived under your own organisation, so your administrator can see it and manage it alongside your other applications, you can supply your own application client ID instead.
- In the Google Cloud console or the Microsoft Entra admin centre, register an application of the kind used by desktop and native apps, and give it the calendar permission.
- Copy the client ID it gives you.
- In HM Praxis, go to Settings > Integrations and open Use your own OAuth application. Paste the client ID and save.
- Connect the provider as usual. The consent screen now belongs to your own application.
The provider consoles change often, so follow their own instructions rather than a copy of them:
- Google: OAuth 2.0 for desktop and native applications
- Microsoft: Register an application with the Microsoft identity platform
The client ID is a public identifier. It is safe to paste and it is not a password. HM Praxis never asks you for a client secret, because a desktop application installed on your computer has no safe place to keep one.
Disconnect the provider first, then change the client ID, then connect again. HM Praxis will not let you edit it in place while a connection is live.
Calendar Sync Troubleshooting
- Nothing happens when you click Connect account: the authorisation needs to open your system browser. A workstation locked down so that applications cannot open a browser will stop it before it starts.
- The provider says the application is blocked or not approved: Google Workspace and Microsoft 365 administrators can restrict which applications staff are allowed to approve. Ask your administrator to allow it, or use your own OAuth application as described above.
- Appointments stopped appearing after working for a while: the authorisation can be withdrawn by you, by your administrator, or by the provider itself. Disconnect and connect again.
- An appointment you edited in the calendar looks wrong in HM Praxis: it is not wrong. The sync is one way, so HM Praxis never saw that edit. Make the change in HM Praxis.
- The entry only says HM Praxis with nothing in it: that is the default and it is deliberate, so that no patient information leaves the machine. Full detail is an opt-in in Settings, Integrations.
- You changed the client ID and nothing changed: it cannot be edited while that provider is connected. Disconnect first.
