Treatment Plans

Treatment plans bundle multiple visits, milestones, and material consumption into one record. Use them when a single appointment is not enough to capture the work - orthodontics, physical therapy, multi-stage dental procedures, chronic-condition management.

When to use a plan vs. plain appointments

For a one-off visit, just create an appointment. For something with checkpoints, a defined start and end, and materials that span weeks or months, create a plan and link the appointments to it.

Creating a Treatment Plan

Open the Treatment Plans Page

From the sidebar, click Treatment Plans. The list shows every active and completed plan in your practice.

Click "New Treatment Plan"

The plan form opens. A plan is a parent record that groups multiple sessions and milestones, with its own status and notes.

Fill in the Plan Details

Enter:

  • Patient the plan is for
  • Title (for example, "Orthodontic treatment - 18 months")
  • Description of the goals and scope
  • Start date and target end date
  • Total cost (optional, used by reports)

Add Milestones

Milestones break the plan into checkpoints (for example, "Initial scaling complete", "Brackets placed", "Mid-treatment review"). For each milestone, set a title and target date. You can mark milestones complete as you progress.

Plan the Materials

If the plan will consume specific inventory across all sessions (for example, brackets, wires, gloves), add them under Planned Materials. Each material has a quantity and estimated cost. This reserves the materials in the inventory reports without decrementing stock until they are actually used.

Add Sessions

A session is one visit inside the plan. Click Add Session with a date and notes. As you complete each session, mark it complete and add session-specific notes. Sessions can also be created from regular appointments by linking the appointment to the plan.

Appointments and sessions

Linking an appointment to a treatment plan attaches the visit to the plan's timeline. The appointment still appears on the main calendar with its normal scheduling rules.

Tracking Milestones

Milestones are the checkpoints that mark real progress. Unlike sessions (which are visits), milestones are clinical or procedural events.

  • Each milestone has a title, target date, and completion state
  • Click Mark Complete when the milestone is reached
  • Completion timestamps are recorded for the audit trail
  • The plan's overall progress is summarised on the patient detail page

Planned Materials

A treatment plan can declare the materials it expects to consume over its full duration. This is separate from per-appointment planned materials - it answers the question "for this 18-month orthodontic case, what total inventory should I budget for?"

Why declare them

  • Forecast inventory needs across long cases
  • Estimate plan cost vs. patient-quoted total
  • Surface low-stock risk before it bites

Stock impact

Planned materials at the plan level do not decrement stock. Stock is decremented when the materials are recorded as used on an actual appointment inside the plan.

Plan Statuses

  • Active - in progress, sessions still being added or completed
  • Completed - all milestones met, no further sessions expected
  • Cancelled - terminated before completion
  • On Hold - paused; the patient or practice may resume later

Best Practices

  • +Define milestones up front so progress reviews are easy
  • +Quote the total cost on the plan, then bill per appointment
  • +Link every related appointment so the plan timeline stays complete
  • +Use the description field to record clinical reasoning for the plan
