Staff and Team
Everyone who works in your practice is managed in the Organizations hub. It is the directory of your people and it drives appointment assignment, prescription provenance, and who can open the shared organization.
Earlier versions had separate Staff and Users pages. They were merged into the Organizations hub, so a person's clinical details and their app access are managed together. Links to the old pages open Organizations.
Adding a Person
Open the Organizations Page
From the sidebar, click Organizations. This is the single place to manage everyone who works in your practice: their clinical details, their organization role, their specialty, and (on paid tiers) their seat. The older Staff and Users pages were merged here, so a link to either one now opens Organizations.
Add a Person to the Roster
Add a person and fill in the clinical details used for scheduling and prescription printing:
- First name and last name (required)
- Job title (for example Doctor, Nurse, Assistant, Receptionist)
- Email and phone (optional)
- Specialty for clinicians (optional)
- License number for regulated roles (optional)
A person on the roster can be assigned as an appointment provider and named on prescriptions without being given a login. This is ideal for a visiting specialist or a front-desk colleague who does not need to open the app on their own device.
Grant App Access with a Seat (optional)
To let someone open the shared organization on their own device, invite them. An accepted invitation takes a seat and grants access; there is no separate "create a local login" step.
- There are no free seats
- Each member needs their own Pro plan, or a seat you sponsor
- Invitation, seat, and sponsorship controls appear on Pro
Set Their Role and Specialty
Give each member an organization role (Owner, Admin, Member, or Read-only) and let them pick their specialty. Finer per-module permissions live under Settings > Roles.
Every person has a clinical-roster facet (the details that make them an appointment provider). Granting app access is a separate, optional step that consumes a seat. So you can have providers with no login, and members who can sign in. Access is always by invitation, never by creating a standalone local login.
Organization Roles
A member's organization role sets what they can do across the organization. Finer, per-module permissions are configured under Settings > Roles.
Full control of the organization
Co-owner with management rights
Day-to-day clinical and front-desk work
Can view but not change records
A person's job title (Doctor, Nurse, and so on) is part of their clinical details and is used to label and filter them for scheduling and prescriptions; it is separate from the organization role above.
Editing and Removing
- Edit updates the person everywhere - the new name shows on every appointment they are assigned to.
- Change the role or specialty at any time as responsibilities change.
- Remove a member to revoke their access and free their seat. Their historical records stay intact.
How Staff Connect to Other Features
Appointments
Every appointment can be assigned to one staff member. The calendar has a staff filter so each clinician can see their own day.
Prescriptions
The prescribing-provider field on every prescription pulls from your people, and their job title and license number print on the prescription.
Reports
The staff-utilization report ranks staff by appointment volume, completion rate, and hours booked.
Best Practices
- +Add your people before scheduling so appointments can be assigned from day one
- +Record license numbers for regulated roles so they print on prescriptions
- +Keep colleagues who do not need a login on the roster only - no seat is used
- +Grant app access by invitation so each member counts toward your seats
