Organization Setup Guide
Your organization is your team on rb-devops.com: its name and members stay in sync with your apps, like HM Praxis. This guide covers inviting members, sponsoring seats, managing roles, and settings.
Organizations themselves are free and every account has one. Collaboration is paid per member: each member brings their own Pro subscription, or sits on a sponsored seat the sponsor pays for. There are no free seats.
Your Organization Is Created With Your Account
Every rb-devops.com account gets its own organization at signup - it represents your business. Find it under Organizations in your dashboard.
From Manage > Settings you can set:
- Organization name (e.g., "Acme Medical Clinic") - this is the same name your practice shows in HM Praxis; renaming in either place syncs to the other
- Business name (optional)
Invite Team Members
Click "Invite Member", enter the person's email, and send. Everyone joins as a member; roles are assigned afterwards from the member list inside the organization.
If the person already has an rb-devops.com account they get a notification in their dashboard bell where they can accept or decline; everyone also receives an email invitation link, so people without an account can join too. Invitations are valid for 7 days.
Every Member Brings a Paid Seat
There are no free seats. Each member needs one of:
- Their own Pro subscription for the app, paid by them, or
- A sponsored seat you pay for: use "Sponsor a Pro seat" to invite them and cover their Pro access ($39/month per seat on your renewal, prorated for the current cycle)
Before any sponsored invitation goes out, a confirmation dialog shows the exact billing impact.
Assign Roles
Once a member joins, set their role from the member list:
- Owner: Full control, including transfer and deletion
- Admin: Can invite/remove members and manage settings
- Member: Collaborates in the organization's apps
Manage Members and Seats
The organizations dashboard shows your members and pending invitations; the billing page shows every seat you sponsor and what it costs.
Membership and the organization name stay in sync with your apps, like HM Praxis: members you add here can collaborate there.
Understanding Roles
Owner
The person who created the organization. Has full control and cannot be removed. Can delete the organization, manage billing, and perform all admin actions.
Admin
Can invite/remove members, manage organization settings, and view all members' devices. Cannot change billing or delete the organization.
Member
Collaborates in the organization's apps using their own Pro license or a sponsored seat. Has read-only access to organization information. Cannot invite others or change settings.
Managing Invitations
Sending Invitations
Click "Invite Member" → Enter email → Send. Everyone joins as a member; assign roles afterwards from the member list. The invitation is valid for 7 days, and registered users also see it in their dashboard notifications where they can accept or decline.
Pending Invitations
View all pending invitations in the "Invitations" tab. You can see when invitations were sent and when they expire.
Resending Invitations
If an invitation wasn't received, click "Resend" next to the invitation. This sends a new email with a fresh link.
Cancelling Invitations
To cancel a pending invitation (before it's accepted), click "Cancel" next to the invitation. The link will no longer work.
Expired Invitations
Invitations expire after 7 days. To re-invite someone, create a new invitation with their email address.
Sponsored Pro Seats
Organizations themselves are free. Pro collaboration is per-user per-app: to give a teammate Pro access, you sponsor them.
Every Pro seat is $39/month - same for 1 or 100. Pricing reflects the computational cost of maintaining every account.
Common Organization Tasks
Removing a Member
Go to Members → Click "Remove" next to the member's name → Confirm. Their devices will be deactivated immediately.
Changing a Member's Role
Click on the member → Change role → Save. Changes take effect immediately. Note: You cannot change the Owner role.
Viewing Member Devices
Admins and Owners can view all devices activated by members. Go to Devices → Filter by member to see their active devices.
Transferring Ownership
As the owner, open Manage → "Transfer ownership", pick the new owner from the member list, and confirm. You become an admin and they take full control.
For successful organization management:
- Assign Admin role to trusted team members who can help with invitations
- Regularly review member list and remove inactive members
- Set up clear naming conventions for devices (e.g., "Dr. Smith - Desktop")
- Monitor seat usage to avoid hitting limits during onboarding
- Keep organization settings up to date (name, description, contact info)
